Quantity On Hand differs between the Stock Status Report and the Inventory Valuation Report

Use the IMZBL1 hidden utility to compare the IM2 and IM3 files. This utility reports detail information on those items that do not have matching quantities on hand (QOH). The Detail Transaction Report (generated with a blank beginning date and ending date of 12/31/5999) provide the true QOH. Corrections should be made to realign the Stock Status QOH or Valuation QOH to match the true QOH as reported in the Detail Transaction Report.  The method of correction varies, based on the item's valuation method and the file or report that must be corrected.

IMZBL1 should not be used to correct the out-of-balance condition if:

  • The item's valuation is Standard Cost.
  • The item's valuation is Average Cost.
  • The Stock Status Report is correct and the items are Lot or Serial.

Quantity on hand information is stored in two files: Warehouse Detail (IM2xxx.soa) and Cost Detail (IM3xxx.soa) where xxx = company code.

  • The Stock Status Report is generated from the Warehouse Detail file (IM2xxx.soa).
  • The Inventory Valuation Report is generated from the Cost Detail file (IM3xxx.soa).

Any data damage in either file may cause the quantity on hand information to be inaccurately reported.

Note: The Cost Detail File (IM3) is written only for the individual cost tiers of FIFO, LIFO, Lot, and Serial valuation types. Records for Average and Standard valuation-type items are not written to IM3.

LIFO and FIFO:

Run IMZBL1 (Inventory Quantity On Hand Balancing Utility) to correct the out-of-balance quantities between the two files:

  1. From the File menu, choose Run. Type IMZBL1
  2. Select the device on which to display or print the report.
  3. Select the range of items to correct.
  4. Press ESC.
  5. If the quantities on hand in the IM2 and IM3 files do not match, the Inventory Quantity On Hand Balancing Report prints a list of out-of-balance items and then prompts, "Do you want the variances corrected?". Type Yes.  The "Which File Do You Want To Change?" prompt displays.
  6. Enter 1 to adjust the Stock Status Report Warehouse Detail (IM2) to match the Valuation Report. Enter 2 to adjust the Valuation Report Cost Detail (IM3) to match the Stock Status Report.

Note: If FIFO or LIFO valuation is being used, a tier must exist for every item and warehouse to repair the IM3xxx file. If no tier exists, the system creates a positive OVERDIST tier.

Lot and Serial:

Note: IMZBL1 cannot be used to repair the Cost Detail file (IM3 file), if Lot or Serial valuation is used and the Valuation Report is incorrect.

If the Valuation Report is incorrect, perform the following:

Note: All users must exit Sage MAS 90 before performing the following steps. Both IM2 and IM3 are historical files that are written to when transactions are updated from numerous modules; therefore, no users can access Sage MAS 90 when performing these steps.

If the Stock Status Report Quantity On Hand (QOH) is correct, copy the data to a test company and receive the quantity into Inventory so that the Valuation Report reflects the correct QOH. Copy IM3 back to the live company.

  1. From the File menu, choose Run. Type SVDATA.
  2. Copy Inventory Management to a new company.
  3. Change to the new company code.
  4. Expand Inventory Management and Main. Double-click Transaction Entry.
  5. From the Transaction Type list, select Receipts.
  6. Enter the items with the correct quantities, costs, serial numbers, and lot numbers.
  7. Update the transaction.
  8. Expand Inventory Management and Reports. Double-click Inventory Valuation Report.
  9. Print the report for the items received on the step above.
  10. Verify that the QOH (quantity on hand) is correct.
  11. Replace IM3 in the original (live) company with IM3 from the new company.
    1. Open Windows Explorer, and browse to the ..\MAS90\ folder.
    2. Rename  ..\MAS90\Imyyy\IM3yyy.SOA to IM3yyy.BAK, where yyy = the original (live) company code.
    3. Copy IM3xxx.SOA from the ..\MAS90\Imxxx, where xxx = the new company code, into the ..\MAS90\Imyyy.
    4. Rename ..\MAS90\Imyyy\IM3xxx to IM3yyy.SOA, where xxx = new company code, and yyy = original company code.
  12. Change back to live company code, and run the Valuation Report and Stock Status Report to verify the QOH is correct for the affected items.

If the Stock Status Report (IM2-Cost Detail file) is incorrect, follow procedures below:

  1. From the File menu, choose Run. Type IMZBL1
  2. Select the device on which to display or print the report.
  3. Select the range of items to correct.
  4. Press ESC.
  5. If the quantities on hand in the IM2 and IM3 files do not match, the Inventory Quantity On Hand Balancing Report prints a list of out-of-balance items and then prompts, "Do You Want the Variances Corrected?". Respond Yes.
  6. Type to correct the Warehouse Detail (IM2-Stock Status Report).
  7. Run the Valuation Report and Stock Status Report to verify the QOH is correct for the affected items.
